Running a LiveReport
Users who do not have permission to access LiveReports Designer can only run reports that have been published to them. Those published reports are found on the Autotask Reports page in the LiveReports section. To open the page, use the path(s) in the Security and navigation section above.
Autotask users who run or schedule a report will only have access to data based on the restrictions of the security level they are assigned. Because users' security level determines their access to data, the same report may display different information for different users.
EXAMPLE If a user can only access organizations of type Customer, organization names for other organization types will appear in reports, but the report will not display any additional data. Refer to Creating or editing a custom security level.
How to...
All users can find LiveReports that have been published to them in the Reports area.
- Click a tab on the Reports page and expand the LiveReports section.
- Click the report name. The LiveReports page will open.
- The report may allow you edit the filter settings at run time. In that case, a Report Filters window will open.
Remove, add or edit filters, if desired, then click OK. For more information on filters, refer to Filters Tab in Creating a new LiveReport.
A progress window will display, and then the report will render in the file format the report designer selected.
NOTE The length of time your report takes to run is dependent upon the size of your Autotask instance and the complexity of the report. Most will take several minutes to complete.
Users with access to LiveReports Designer can run any report in any folder they have access to - the report does not have to be published to them. Access to report folders is governed by a user's security level. Refer to Configure user access to report folders.
Locate the report you want to run in the LiveReports folder tree. Use the + to expand folders as needed.
- Right-click and select Run Report to generate the report in the default format.
- For output formats other than the default, right-click and select Export As and select an output option from the drop-down menu.
NOTE If you select the CSV export format, UTF-8 encoding will be used.
- Change the filters on the prompt page if necessary, then click OK to run the report.
In LiveReports Designer, you can also run a report while you are in Edit mode.
- Locate the report you want to run in the LiveReports menu. Use the > to expand folders as needed.
- Select Edit.
- Click the Save & Run Report icon.
- For output formats other than the default, click the Export Selected Report drop-down menu and select a format. Any changes you made are saved, then the report is exported.
NOTE Export options are enabled on the Report Options > General dialog.
- Change the filters on the prompt page if necessary, then click OK to run the report.
Make changes to HTML reports in the Report Viewer
The HTML report output can include several interactive features that allow you to modify the appearance, sort options, and content of the report after it is generated. Some of these features are available on all HTML reports; some must be enabled for a report in the LiveReport Designer. Refer to Making changes to HTML report output.
