Editing invoice template properties

BEFORE YOU BEGIN Make sure you have configured your payment terms. Refer to Payment terms.
To configure the basic settings for an invoice template and its PDF output, complete the following steps:
- To open the page, use the path(s) in the Security and navigation section above.
- To create a new template from scratch, click New. To copy a template, hover over its context menu and select Copy. The copy is automatically added to the table with Copy (#) preceding the name of the copied template. This will open the New Invoice Template page, allowing you to modify the template properties.
- To open the Invoice Template Properties page on an existing template, click Edit Template Properties from the context menu, or from the menu bar of the Design Invoice Template page. Refer to Designing an invoice template.
- Complete or edit the following fields:

General Information | |
Name | Enter a unique name for the invoice template. |
Description | Enter a description for the new template. This will appear on the Invoice Templates page and will help others understand the purpose of the template. |
Active | This box will be automatically selected so that the new template is active. Clear the box to inactivate the template. This check box is active and disabled when you are editing the default template. |
Data Formatting | |
Date | Select a Date format to be applied to the Invoice Template. NOTE This will default to the format setting of the logged in user who is processing invoices. |
Time | Select a Time format to be applied to the Invoice Template. NOTE This will default to the format setting of the logged in user who is processing invoices. |
Number | Select a Number format to be applied to the Invoice Template. NOTE This will default to the format setting of the logged in user who is processing invoices. |
Additional Settings | |
Page Size/Layout | Select the option that matches your printed invoice dimensions. |
Display Page Numbers | Specify whether the invoice should display page numbers, and if so, where on the page they should appear. |
Display Currency Symbol (If Multi-currency is not enabled) |
Specify whether to display the currency symbol selected on the Local Terms page before the amount, after the amount or not at all. This setting applies to the sums below the invoice body only. The currency symbol is never displayed in the invoice body. |
Payment Terms | Select the terms of payment to display on the invoice. This list will contain all active Payment Terms as configured in > Admin > Features & Settings > Finance, Accounting & Invoicing > Payment Terms. |
Currency Positive Format | Specify the placement of the currency symbol for positive numbers. For format options, refer to Positive Format. |
Currency Negative Format | Specify the placement of the currency symbol and formatting for negative numbers. For format options, refer to Negative Format. |
PDF Name Format | |

This setting determines the naming convention for invoices using this template that are output to a PDF file. The default format is Invoice_[Organization: Name]_[Invoice: ID]. You may customize the file naming convention of the invoices’ PDF output to include up to 30 characters of static text and 5 variables. To add a variable:

- Click Save to save the invoice template properties and open the Design Invoice Template page. Refer to Designing an invoice template.
