About internal locations
Internal locations tie resources (users) to a holiday set, a country, a time zone, and business hours. They also determine the default date, time, and number formats for associated resources.
Your Autotask instance comes populated with a default internal location called Headquarters.
IMPORTANT You should update the provided default Headquarters internal location with your company's information.
Customers with physical plants in different countries (with different public holidays) or in different time zones (with different business hours) should set up additional internal locations.
If you will be using the TaxJar integration, you will need to set up an internal location in each state where you will have an economic nexus. Refer to The TaxJar integration.
How to...
- To open the page, use the path(s) in the Security and navigation section above.
- To add a new internal location, click New to open the Internal Location page. To edit an existing internal location, select Edit from the context menu or right-click on the line and select Edit. The Internal Location page will open.
- Populate or update all required fields:

Name* | The name your company uses for the internal location, such as, "Main Office" or "Phoenix Office". |
Address 1, Address 2, City, State, Zip Code, Country* | The address of the internal location. Country is a required field. |
Additional Address Information | Enter information that does not fit into standard address fields. |
First Day of Week* | Defaults to Sunday. If this internal location is in a country where Monday is considered the beginning of the week, click the drop-down menu and select Monday. This setting impacts the beginning of the week on the dispatch calendar, all user calendars, date selector calendars, date ranges on standard reports like the Workload Report, dynamic date filter options on dashboard widgets, Executive Dashboard, and project calendar display. The only exceptions are the timesheet and the date filter calendar on LiveReports, which will continue to display Sunday as the beginning of the week. |
Date Format* |
The date format is inherited by resources associated with this internal location, but can be edited. Choose between all common date formats. For details on how Autotask manages date and time formats, refer to Date and time entry format rules. |
Time Format* |
The time format is inherited by resources associated with this internal location, but can be edited. Choose between AM/PM (with and without leading zeros) and military time format. For details on how Autotask manages date and time formats, refer to Date and time entry format rules. |
Number Format* |
The number format is inherited by resources associated with this internal location, but can be edited. Choose between period and comma as the decimal and thousands delimiter. |
Time Zone* | The time zone of the internal location. Time zones are in Greenwich Mean Time (GMT), which is used to standardize time zones globally.
NOTE Date, time, and number formats are associated with internal locations based on this property. |
Holiday Set* | The holiday set used at the internal location, for example, Canadian, None Selected, and US Federal Holidays. The system provides one Holiday Set with no holidays specified. Use this set if your company does not want to use holidays. Click the drop-down menu and select an existing holiday set for this internal location, or click the plus icon to define a new one. Refer to Managing holidays and holiday sets. |

If your company has an economic nexus in a state or province, you may have to collect sales tax on sales in that state. Generally, an economic nexus exists if you have offices, employees, or inventory in the state. However, in many states an economic nexus is created if you have a certain level of sales, a certain number of transactions, or a combination of both. For an excellent overview of the current situation, refer to Sales Tax by State: Economic Nexus Laws. If you do business in multiple states and want TaxJar to treat a state as an economic nexus, do the following:

Business Hours Start and Business Hours End | For each day of the week, enter the time when normal business hours at this internal location will start and end. If this internal location is closed on a particular day, then leave the hours fields blank. To assist with the application of different billing rates to time entries created outside of these hours, you can use After-Hours Work Types. Refer to After-Hours Work Type. NOTE If no business hours are associated with an internal location, they are assumed to be 8 AM to 6 PM. |
Extended Hours Start and Extended Hours End | Extended hours are scheduled hours when your company provides customer support before or after normal business hours. If your extended hours start before your business hours, enter that time here. If you offer extended hours only at the end of the day, set the Extended Hours Start time to the Business Hours End time. If you set extended hours for a given day, you must have regular hours specified for that day or the extended hours will be ignored. EXAMPLE If your business hours are 8:30 am to 5:30 pm and emergency support is available until 12:00 am, your extended hours are from 5:30 pm to 12:00 am. |
Use normal hours on holidays | Select this option if your regular business hours (business and extended, when applicable) apply to holidays, as well. The Holidays row in the table will be grayed out. NOTE With this setting, any business hours on holidays will be considered regular time for the purposes of After-Hours Work Type time entry calculations. Refer to After-Hours Work Type. |
Use hours specified in table on holidays | Select this option to specify custom hours for holidays, or to leave the hours blank to indicate no holiday hours. NOTE With this setting, any business hours on holidays will be considered regular time for the purposes of After-Hours Work Type time entry calculations. Refer to After-Hours Work Type. |
NOTE Internal location business hours are the default for service level agreements (SLAs) associated with the internal location, but can be edited for individual SLAs. Refer to Establishing business hours for service level agreements.
- Click Save & Close.
The default internal location will be marked in the Default column on the internal locations table. This default internal location will be applied when new resources are created. It can be edited. To change which internal location is the default, complete the following steps:
- To open the page, use the path(s) in the Security and navigation section above.
- Open the context menu or right-click on the line and select Set as default.
To delete an internal location, complete the following steps:
- To open the page, use the path(s) in the Security and navigation section above.
- Open the context menu or right-click on the line and select Delete. If the internal location has existing associations, the Delete option will not be available.

Click Yes on the confirmation message.
You cannot delete an internal location that is set as the default, or has active resources, active queues, active departments, SLAs (Service Level Agreements), or projects assigned to it, or if it is used in the time-sensitive section of a workflow rule. Deletions cannot be undone.
NOTE The last column in the internal locations table will show you the number of resources associated with each one. To determine which resources are associated with a specific internal location, navigate to Admin > Organization Settings & Users > Resources/Users (HR) > Resources/Users (HR) and use the quick filter on the Primary Internal Location column on the table to filter the list.
